  • current workload and discipline;

  • behavioural or performance information;

  • osteopathic assessment findings;

5. How Your Information Is Stored – Equigate

Client, horse, appointment and treatment information is primarily managed through Equigate, a digital practice management system provided by Equigate Technologies Ltd.

Information stored within Equigate may include your contact information alongside your horse's profile, appointment history, treatment notes, reports, documents and other relevant records.

Equigate is a third-party service used to assist me in securely managing my professional records and services.

Your use of my services does not give Equigate permission to use your information independently for my marketing purposes.

Where third-party providers process personal information on behalf of CT Equine, I expect appropriate data protection and security arrangements to be in place.

6. Emails & Communications

When you contact CT Equine by email, your original email and subsequent correspondence may remain within my business email account.

Emails may contain information including your name, contact details, information about your horse, appointment requests, photographs or other information you choose to provide.

I retain relevant correspondence where it is reasonably required for client communication, record keeping, resolving queries or protecting legitimate business interests.

Please avoid sending information that is unnecessary for the purpose of your enquiry.

7. Sharing Your Information

I do not sell your personal information.

Your information will only be shared where there is a legitimate and lawful reason to do so.

This may include sharing information with:

  • Equigate Technologies Ltd, where necessary to provide the practice-management system used by my business;

  • payment, accounting or other business service providers where applicable;

  • my professional advisers or insurers where reasonably necessary;

  • veterinary surgeons or other equine professionals where appropriate and lawful;

  • authorities or organisations where disclosure is required by law; or

  • other service providers necessary for the operation of my website or business.

Where another equine professional is involved with your horse, relevant information may be shared where appropriate to support communication and continuity of care. Personal information will not be shared unnecessarily.

8. Veterinary & Professional Communication

There may be circumstances where communication with your veterinary surgeon or another appropriately qualified professional is beneficial or necessary.

Where appropriate, I may discuss relevant findings, treatment information or rehabilitation considerations with professionals involved in your horse's care, subject to applicable data protection, veterinary and professional requirements.

I will only share information that is reasonably relevant to the purpose of that communication.

9. Photographs, Videos, Testimonials & Marketing

Photographs and videos may sometimes be taken for purposes such as movement assessment, monitoring progress or maintaining appropriate professional records.

I will not use identifiable photographs, videos, testimonials or client information for public marketing, website content or social media without appropriate permission.

Marketing consent is optional and is separate from your agreement to receive treatment or other services.

If you have given permission for future marketing use, you can contact me if you subsequently wish to withdraw that permission.

10. Email Marketing

I will not add you to a general marketing mailing list simply because you have booked an appointment.

Where I offer optional email marketing, such as business news, availability, educational information or service updates, appropriate permission will be obtained where required.

You can unsubscribe from marketing communications at any time.

This does not prevent me from contacting you with necessary information relating to an appointment, service, payment or existing professional relationship.

11. How Long Do I Keep Your Information?

Personal information and professional records are only kept for as long as they are reasonably required for the purposes for which they were collected and to meet applicable legal, professional, insurance and record-keeping requirements.

Different types of information may therefore be retained for different periods.

Client and treatment records may need to be retained after your last appointment for professional, legal and insurance purposes.

Emails and other correspondence will be periodically reviewed and information that is no longer reasonably required will be deleted where appropriate.

Where information must be retained for legal, financial, insurance or professional reasons, it may be retained for the applicable period even if you request its deletion.

12. Keeping Your Information Secure

I take reasonable steps to protect the personal information held by CT Equine from unauthorised access, loss, misuse or disclosure.

Professional records are primarily maintained electronically using Equigate and relevant business systems rather than being made publicly accessible.

Access to business accounts and systems is restricted appropriately.

However, no method of electronic communication or storage can be guaranteed to be completely secure.

13. Your Data Protection Rights

Depending on the circumstances, UK data protection law gives you rights relating to your personal information.

These may include the right to:

  • be informed about how your information is used;

  • request access to personal information held about you;

  • ask for inaccurate information to be corrected;
